Administrative Assistant | Institute of Continuing Legal Education

Location: Downtown Atlanta

Statement of Purpose:

The Institute of Continuing Legal Education of the State Bar of Georgia is committed to producing the best educational seminars that will satisfy the annual continuing legal education requirements for attorneys in the state of Georgia. The primary focus of this position is to help provide a great user experience for any person who would like to attend an ICLE seminar. 


  • Responsible for responding to attorney questions by phone and by email.  Resolves issues of medium complexity related to continuing legal education programs (i.e., seminar registration, payments and refunds, posting of CLE credit).
  • Ensures accurate and timely entry of seminar registrations.
  • Processes database changes necessary to complete seminar registrations and update customer accounts.
  • Processes desktop credit card payments in an accurate and timely manner.
  • Processes contents of SunTrust backup envelope in a timely and accurate manner.
  • Collaborate with several departments within the company.
  • Investigates and resolves returned U.S. mail and email.
  • Investigates and resolves issues related to unpaid accounts.
  • Distributes department mail.
  • The position requires physical labor, to include lifting or standing for extended periods of time, as well as the ability to work early mornings, weekends and evenings, as needed.  
  • Supports ICLE Director and Assistant Director of Operations in any assigned responsibilities.

  • Must be able to learn how to use registration databases with ease.
  • Detail oriented.
  • Meet deadlines and complete assignments.
  • Even temperament and ability to deal with difficult telephone calls and challenging situations. 
  • Comply with State Bar policies.

Tools, Equipment:

  • Skills in Microsoft Office product, specifically in Word and Excel, are required for this position. 
  • Previous knowledge or experience with other databases desired.

Education, Training, & Experience:

  • Four-year degree in Business, in related field, or comparable experience.
  • 3-5 years general administrative experience.
  • Must be a highly-motivated self-starter with superior organization, communication, and time management skills.
  • Strong customer services skills.
  • Must be tech-savvy.

Starting Salary: $36,000 - $39,000

Statement of purpose: 
State Bar Receptionists are polite, friendly and have a passion for delivering excellent customer service. Receptionists must have excellent communication and listening skills for answering phones and greeting guests in person.  


  • Operate busy phone system, handling calls in one of the following ways:
    • Forward call to another staff member or department.
    • Assist caller in a reasonable amount of time by providing general information and/or using the State Bar’s website to access the Membership Directory or Local Bar Association Directory.
  • Processes deliveries made to front desk by signing for packages, logging them and notifying the correct person of their delivery.
  • Assists visitors with parking validations (for Bar members), paging other staff members, taking forms or giving directions to the Conference Center.
  • Stays alert for safety problems and notifies security of any issues.
  • Available to assist other departments with various tasks, if necessary.
  • Cross training on mail machine to assist when needed.
  • And other duties as assigned.

Essential Functions of the Job:

  • Strong communication and listening skills.
  • Must be reliable and punctual.
  • Pleasant personality and able to work with many different personality types including difficult callers.
  • General knowledge of office equipment.
  • Must be able to concentrate and focus with other distractions such as noise or visitors.
  • Ability to collaborate with co-workers and management (able to listen and communicate effectively) and respect authority of others.
  • Available to provide timely and personal attention to the public, State Bar members, volunteers and staff. 
  • Will be supervised in-person by Office Manager and expected to perform job in the Atlanta office.
  • Work within agreed upon office hours.
  • Comply with State Bar policies.

Education, Training and Experience:

  • 2-4 years’ experience as receptionist.
  • Training on multi-line phone system.
  • iMIS or similar database storage system.
  • Basic computer skills.
  • Bilingual with concentration in Spanish preferred.

The State Bar of Georgia seeks a highly-motivated individual to join our team in the Communications Department as the Administrative Assistant. 


  • Serve as administrative assistant to the department
  • Clerical duties include handling departmental mail and calls 
  • Fulfilling publication requests
  • Coordinate and assist in committee meetings
  • Graphic design and layout of printed and web pieces
  • Writing, editing and proofing Bar communications
  • Assisting in updating the Bar’s website

Education, Training & Experience:

  • Bachelor degree preferred
  • Proficiency in Microsoft Office
  • Proficiency in Adobe Creative Suite
  • Strong organizational skills: manage multiple tasks at one time
  • Strong writing ability, mastery of English language (essential for editing/writing/proofing)
  • Working knowledge of AP Style preferred
  • Creativity; ability to design 
  • Adhere to time schedules/deadlines
  • Conscientious, positive attitude
